Discover a clear, step-by-step way to source high-quality goods from China for your global import business.
Procurement of Goods from China: How Our 5-Step Process Works
Importing from China doesn't have to be complicated. Our structured 5-step process reduces risk, protects product quality, and saves you time and money, whether you are just starting or already importing at scale.
Important Notes Before You Start
- To import larger quantities of goods, you will need a registered company. We focus on long-term B2B partnerships.
- We work exclusively with companies and legal entities—we do not handle individual or private consumer orders.
° Step 1
Tell Us Exactly What You Need
The first step is to clearly describe the products you want us to source in China. The more precise your brief, the faster we can identify the right factories and reliable suppliers for you.
- Specify the product name, model (if any), and the quantity you are interested in.
- Share product photos, links to similar products, or existing listings that show what you have in mind.
- Describe key specifications such as quality level, materials, dimensions, colors, packaging, or branding needs.
- Indicate your target price per unit for the requested quantity so we understand your budget range.
- Mention any required standards or certifications (for example CE, RoHS, FCC, food-grade, safety standards, etc.).
- Explain how the product will be used and in which market, so we can check compliance and practicality.
- If you have ordered this product before, tell us what worked well and what problems you faced with previous suppliers.
Want us to find and verify suppliers in China for your products?
Send us your product details (photos, specifications, quantity, target price) and our team in China will prepare a tailored sourcing offer for you.
Send us your product inquiry →° Step 2
We Search for Products and Suppliers
After receiving your request, our team in China starts a targeted search for suitable factories and trading companies that match your requirements.
- We prepare a clear product specification based on your brief and send it to a selected group of trusted suppliers.
- We collect and compare all incoming offers to make sure they really match what you asked for—not just the cheapest option.
- We evaluate suppliers based on price, quality, communication, production capacity, lead time, and our previous experience with them.
- From all available options, we select the most suitable and commercially reasonable offer and send it to you for review.
- You receive a summarized offer so you can quickly see prices, conditions, and key differences between options.
- If the offer meets your expectations, we move on to sampling and order confirmation.
° Step 3
Offer Confirmation, Samples, and Advance Payment
- If our offer looks good to you, we can arrange product samples before you commit to the full order.
- We send you samples so that you can personally check quality, materials, dimensions, and overall finish.
- For new or custom-made products, we coordinate the design and production of molds and the first prototype with the factory.
- The buyer covers the costs of mold production and first samples, which can often be offset against future orders by agreement.
- After you approve the sample and confirm that everything matches your expectations, we finalize the order details.
- Production usually starts after a 30% advance payment, transferred via secure international payment methods.
° Step 4
Production of Your Goods and Quality Control
Before mass production starts, we coordinate any comments you may have based on the samples and ensure the factory clearly understands all agreed details.
During production, our team performs ongoing checks such as:
- Monitoring the production process to ensure the factory follows the agreed specifications and instructions.
- Tracking production progress and lead times to identify any potential delays as early as possible.
- Spot-checking raw materials and components to reduce the risk of quality issues later in the process.
Once production is completed, we carry out additional pre-shipment inspections, which may include:
- Checking packaging and labelling to make sure the goods are properly protected for sea or air transport.
- Verifying product features, dimensions, functions, and overall quality against the approved sample and specifications.
- Reviewing printed materials such as user manuals, labels, barcodes, and branding on products and cartons.
° Step 5
Final Payment, Shipping, and Delivery Support
- We perform a final check of your goods before shipment to confirm that everything is ready to leave the factory.
- If everything is in order, you pay the remaining balance (usually 70%) according to the agreed payment terms.
- According to your needs, we organize the most suitable shipping method: LCL, FCL, air freight, or multimodal transport.
- We handle export customs clearance in China and provide you with the necessary export documents.
- You receive tracking information and regular updates so you can follow the shipment from China to your final destination.
- Even after delivery, our team remains available for questions, potential repeat orders, or support with new products.

Why do I need the services of an agent?
- We are in China, believe me it is a different way of life and business, different culture, manners, behavior.
- A professional agent knows how to control production quality and significantly minimize your business risks! All in all, we help, not compete with factories to win customers.
- Many factories do not trade directly with customers, they are represented by agents.
- Many factories have their own export departments, however if you have been in this business for a long time, you will notice that hiring a professional export agent is much more efficient than working directly with the factories.
- When you try to find a product, you are aware that it can be produced by many factories. Instead of contacting them one by one for days, weeks and even months, you can use a professional agent to make and present you with the right choice at once!
Why do I need you when I have Alibaba?
- Alibaba is the world's largest site where you can directly contact the seller and negotiate a deal, however Alibaba has two versions in English and in Chinese. According to Alibaba data from 2013 Alibaba_overview_jan2013.pdf Chinese version is much bigger or in numbers Alibaba.com has 37.7 million registered users and over 2.8 million sellers, while Alibaba in Chinese has 77.7 million registered users and over 8.5 million suppliers and sellers! Where do you think there is more competition and who has better prices? However, you cannot contact sellers who are registered only on the Chinese version of the site, as they only speak Chinese.
- In order to export goods, Chinese companies must have an export license or resell their goods to appropriate dealers who will distribute them worldwide. The license itself is not cheap and implies that the company has at least one employee with the appropriate profession. We contact the manufacturers directly, avoid the middleman and secure the export license. Many smaller companies do not have this license and leave this obligation to agents, because they are the ones who know the legal regulations surrounding the export of goods. These companies are Trading Companies and they are mostly on the English version of Alibaba.
- Probably the most important of all is the security of the contracted work. In the period since our site has been operating, we have received numerous letters that you have been deceived by Chinese companies with whom you tried to do business independently. We cannot help you after fraud.
Ok, I need an agent from China, but why should I choose you?
Most sourcing companies just open Alibaba.com and give you 2-3 quotes, or worse, they'll just contact a supplier they've worked with before. Our way of working is different. From the beginning, we spend hours finding the best suppliers for you. Based on your unique requirements - price, minimum quantity, required materials, quality, volume of production, we contact 20+ factories and look for the best offers for you. This is something we have been doing since 2010 and we know the China market quite well! However, if you have doubts, you can see our original photos from our sa on our websitetenants, contacts and other activities.
If I want an offer from a factory in China, what information do I need to give you?
The more we know about your desired product (dimensions, material, special requirements, characteristics, color, etc.), the more accurately and quickly we will find the manufacturer, that is, the appropriate factory. Ideally, a 3D product file, along with material specifications and estimated quantities, would be very helpful.
Do you only make some products or products from only a few niches?
No. Our services relate to absolutely any product category, and the scheme for finding the perfect manufacturer is applicable to any type of product. We have experience in a wide range of different fields such as fashion, homewares, construction materials and machinery (floors, windows, machinery), civil infrastructure materials, ceramics, cosmetics, pharmaceuticals, textiles, industrial components, consumer electronics, furniture, children's clothing, glassware, packaging, molded plastic and more. All over China we can find absolutely any product if it really exists!
We heard that agents get commissions from factories, how about that?
We don't know how others do it, we don't do it, otherwise we would fail as a company. We never take any commissions from factories, we work exclusively for you. Consider us a branch of your company in China. We perform a comprehensive search for each individual item based on your requirements. Let's be absolutely clear about this: We work only on your behalf and in accordance with your best interests, not the interests of the factories.
How do you choose/recommend a factory?
We base our recommendations on a combination of several factors: how many factories match your specific requirements (product, minimum quantity, price, quality, certificates). We evaluate our impressions of communication with them, how accessible they are, whether they show competence, whether they have export experience, factory size, we evaluate their other customers (if they want to give us names), production time, condition of their factory facilities and general feeling during our interactions with them.
Will you negotiate the price of the product on my behalf?
Yes we can, why not. We work on your behalf to negotiate the price, sign the contract, check the quantity and quality, etc. But you must know that it is the quantity that affects the reduction of the price of the product per piece.
Do you have a minimum quantity and can I order smaller quantities of products?
Yes of course. We support our customers regardless of the size of your order. For some products, suppliers have their own minimum quantity (MOQ), and then our MOQ is based on theirs. However, the larger the quantity you order, the cheaper the price you can get per piece.
Do you provide shipping services?
Yes, of course, most clients want us to deliver the goods to them. We offer discounts on shipping to users of our services, but we can also get a good shipping price for you. We can suggest an appropriate shipping method based on the size and weight of your order.
What shipping services do you offer?
We offer sea shipping for full containers and bulk containers. We also offer air freight (a good choice for valuable but small quantities of products).
To send goods by sea, get to know 3 basic terms:
- EXW(Ex Works) Price of goods in the factory.
- FOB (Free on Board) Price of goods on board at the port of loading.
- CIF(Cost Insurance and Freight) Price of goods delivered to destination
Read more Shipping guide.
Which goods can I order and in what quantity?
Ordering a larger quantity of goods can only be done by legal entities. As a natural person, you can order a maximum of one or two pieces of the same article or a machine, device, apparatus, machine that can be said to be for personal use. It is forbidden to send branded products, their copies and replicas in any form and quantity. Such a thing is strictly punishable and we do not do it.
When to create an order?
If, for example, you need to purchase 10,000 pens with your company's logo, please create an order on our website. If you found the goods on Alibaba.com or some other Chinese site, find out the prices there, then create a request for goods and ask us to try to find goods of the same quality but cheaper. If you have an idea of what you want to buy but you can't find that product, or you can't find it at competitive prices. Real product prices that they are not the ones you see on Alibaba, you will find out the real prices if you contact the seller, as they often put lower prices in order to attract customers.
The best purchase is if you go to China in person, meet the seller, see the product and its quality and the real price. For something like that, it is best to visit the fair of the goods you are interested in.
There are numerous fairs in China, and we present them to you here. If you need help with visiting the fair, write to us.
Overview of current fairs in China and accommodation capacities of fair cities!
How to get to China?
Of course, the simplest and most practical way is by plane. Since there are no direct flights to China from our region, you have to count on layovers. Flight prices vary depending on when you booked the ticket (how many days, weeks, months in advance) or if you decided to travel immediately. Once you arrive in China, if you have time, visit other cities as well, since local flight prices are relatively cheap, around €50 for a 4-hour flight return ticket. Of course, don't count on any luxury or comfort, but the service is quite decent.
Hotels in China
There are numerous sites that offer services for finding hotels and hostels in China. We suggest the following site
http://www.chinahotelsreservation.com/hotels.html
due to the fact that in addition to choosing a city, online booking, accommodation prices, it also offers the convenience of choosing a hotel near the fairgrounds by choosing the Hot Zone Hotels option. In addition to the name of the hotel, there is also an icon that leads to a picture of the location of the hotel in the city, so you can easily locate it where it is in relation to your desired destinations.
Fair in China
Probably the world's largest and most important site for trade shows is India's 10times.com formerly biztradeshow. Links to all always currentupcoming trade fairs in China can be found below in the list. Fairs are arranged by area.
On the links you can see a list of fairs in the following period from the selected area. Next to the name of the fair, there is the date, place and a short description of the fair. By clicking on the desired fair, you can get more detailed information and application forms for participating in the fair as an exhibitor, visitor, or you can simply ask the fair organizer anything you are interested in.

Customs is a basic import duty that is charged for goods imported from abroad.
Goods imported by state trade organizations are exempt from customs duties. The number of products subject to export duty is constantly decreasing. Export duty rates range from 5 to 50%, based on the FOB price. Tariff rates for key minerals such as lead, zinc and tin are set annually.
The customs tariff is based on a harmonized system. Minimum tariff rates apply to imports from countries with which China has signed trade agreements or reciprocal preferential treatment agreements. General customs rates apply to other countries. Most of the customs tariff is ad valorem based on CIF value (Incoterms 2000).
In order to encourage foreign investment in key sectors (especially high-tech sectors and agriculture), certain products are exempted from customs duties when imported.
Since joining the WTO, China has lowered the average tariff rate from 15.6% in 2000 to 10.6% in 2004. During 2005, the average customs duty rate was lowered to 10.1%. The average customs duty rate for industrial products is 9.3%, and for agricultural products 15.6%. The customs rate for information technology products, in accordance with the WTO Agreement on Information Technology, is zero.

There are a lot of online scams and online sales. This phenomenon is so frequent that two new ones are opened for one fraudulent shop caught and closed. Frauds are basically the sale of branded products, computers, laptops (iPod/iPhone), cameras and other electronics. funds. Scammers use everything they can just to get you to their online store, claiming to sell branded goods, new goods, claiming that their prices are low due to sales, giving you free shipping, etc. One of the most important things in business is certainly trust. No one wants to happen to buy a product and never receive it, and lose the invested money. This is a classic scam that exists everywhere in the world, including in China. We will try to build a network of trust on our site and thus reduce fraud of this type.
Ways of buying goods from China
There are generally three ways to purchase goods.
- The first way is to hire a company in China to help you find the goods, control the goods during loading and ensure their delivery,
- another way is to make purchases directly from Chinese companies from home, and
- the third way is to go to China and buy goods with personal control.
In the following text, we talk about the first two ways of purchasing.
Shopping with someone's help
If you want to order goods from China, our advice is to necessarily hire someone to help you. In this way, you get multiple help for little money. First and foremost is the safety of the work done, secondly, if you want, you can ask for a check of the quantity and quality of the goods before loading, and the third and most important thing is that you may be able to save money, since these companies can probably find the goods at favorable prices than you! !!
What should be contained in a well-formulated procurement letter
If you want us to help you and find the product for you, you need to provide the following information:
- a more detailed description of the product with all the features and details it should satisfy (the more details the better, maybe a picture or a link where we can see the product)
- the quantity you are interested in (the price per piece mainly depends on the size of the order)
- prices per piece that you think would be profitable for you to buy from China (target price)
Without the above details hardly anyone will start searching for the product you want.
Example of bad letter
regards
how can we buy a concrete mixer?
regards
Axxxxx

Independent purchase
Of course, if you want, you can also contact the Chinese seller yourself, pay him and hope that everything will go well and that you will receive the ordered goods.
If you want to embark on this kind of adventure, don't say that we didn't warn you and that anything can happen. We often receive questions on our email such as: we paid for the goods but never received them, or we received goods that are of poor quality, etc. Be sure to beware of fraud during the third, fourth purchase from the same seller, when you gain trust in him and when you want to buy goods in larger quantities and for more money!
Our contribution to verifying companies will involve highlighting links on our site for those that had their own website at the time they were listed. Now you can see if they are still working and make sure if it is some kind of scam.
We know that a company's website, especially if it is only a presentation on one of the larger sites like Alibaba, is absolutely not enough. The company you want to cooperate with simply must have its own unique website. That is why only companies with a personal presentation are on our website. In order to start considering trade with a potential supplier, it is necessary to be WELL informed about him. In the past period since the Import from China website was created, we noticed that many links to companies disappeared even though they were correct when we set them up! Links to companies disappear for several reasons: carelessness of the company that allows their domain to expire, lack of interest of the company in the website, change of site, failure of the company, but most often it is a question of companies dealing with fraud. Fraudulent companies open a site, deceive a few visitors and close the site. That's why we introduce Year-godina, which indicates how long a link to a company has been on our site. This does not mean that the other companies that are not on our site are not valid, there are simply too many companies and we cannot add them all.
Tips
In communication with a possible future partner:
-
never: curse, racially abuse, swear at something
-
give your contact details which can only help with communication and cannot withdraw money from your bank account
-
write as correctly as possible in English without slang or abbreviations. Do not forget that English is not the native language of the Chinese and that your interlocutor may not know English very well. This way you avoid the most common thing that happens in trade with the Chinese - misunderstanding due to what is lost in translation
-
be as clear, thorough and precise as possible in details. the more information you share the better.
-
use a company email instead of a free one like yahoo, gmail, etc. so that the Chinese partners would take you more seriously.
How to recognize a legal company?
1) Always send money to the company account.
Unlike many countries, China has a strict policy that every company must have its own bank account. It is the best indicator of whether a company is legitimate or not. Someone may wonder what the difference is between a personal account and a company account. Here is an example:
Beneficiary name: Zhou Jianming
Bank name: Industrial and Commercial Bank of China
Account No.: 35000******** ************
Swift Code:ICBKBJHLJ
or
Beneficiary name: Harbin Freedom Energy Sootblowing Co., Ltd
Bank name: Industrial and Commercial Bank of China
Account No.:35000** ******************
Swift Code: ICBKBJHLJ
it can be seen in the first example that Beneficiary name is a personal name and in the second it is the name of a company. Exporting companies should have a foreign currency account in addition to an ordinary account! Never pay anything to someone on your personal account in China, or you do so at your own risk!
2) The company's website reveals a lot!
- Eliminate suppliers who don't have their own site! When accessing a supplier's site, check the following:
- did they show the detailed address of the company or did they show it at all? Did they give the address of city A and the phone number of city B (and it happens) https://www.wayp.com/eng/china.htm Chinese phone directory yellowpages online. You can check many companies and their information just by phone number. Unfortunately, China does not have a unique telephone directory on the Internet, at least not for now and as far as we know!
- Stay away from companies that won't publish their address on their website!
- check if the site has an about us page. Be very careful in doing business with a company that will not introduce itself!
- search the internet for the url of their website+scam
- a high ranking on Google is a good indicator, as is the date of establishment of the company and website
- A website in Chinese and English is much more professional and an indication of seriousness in business. However, pay attention to Chinese sites that are only in English, we recommend that you avoid them!
The most reliable way to verify a company is through the Ministry of Commerce of the People's Republic of China.
Ministry of Commerce of the People's Republic of China
If you have doubts about trading with a Chinese company, contact this ministry. You will receive an answer within 24 hours. They may not have answers to all your questions, but they will direct you to people or contacts who can help you. You also have the possibility to view numerous letters with questions and answers.

If you know the province where your supplier is located you should contact the Local Administration for Industry and Trade directly!
Local Administration for Industry and Trade
Here you can confirm the validity and confirm if the company is legally registered. You can also check if they have a foreign trade certificate. Only companies with this certificate can conduct foreign trade. If it turns out that the company you are checking is a fraudulent company, the local police then take action against the fraudsters.
If you are not satisfied with your previous search, contact the Local Administration for Industry and Trade. Each Chinese province has its own Administrative Bureau for Industry and Commerce. You can find the contact websites of these Bureaus by province here. or on the following links:

If you do not know in which province your business partner is located or if you do not know some information needed to check their company, feel free to ask them and ask them to give you as much information as possible about their company. Your money is at stake!

How to Check Hong Kong Offshore Companies
You have probably come across companies from Hong Kong whose addresses are in China, mostly in the southern parts of China (Guangdong province). These are the so-called Hongkong - offshore companies. The reasons of the Chinese for opening these companies are:
- Tax avoidance
- Hong Kong has looser business registration rules than China and is relatively inexpensive
The danger when trading with such companies is that they do not have a physical presence in Hong Kong, so if something goes wrong with the trade you have no one to turn to, and you are also not protected from China since you traded with a company from Hong Kong. These companies are difficult to detect and these are just some of the tips:
- You can call them on the phone and check the area code, but be aware that the number may be diverted.
- Visit them and see for yourself (safest)
- Mostly they have accounts in small foreign banks
- Check the company at the following address: https://www.icris.cr.gov.hk/csci/

To summarize - we divide companies into three categories
-
Verified companies - are those companies with whom cooperation is long-termand correct
-
Companies that partially fulfilled the agreement - are those companies that did not send you all the agreed goods, those companies with whom, due to some linguistic misunderstanding, the trade was not completed completely and properly.
-
Companies to avoid - are those companies that engage in fraud or do business in a rude manner, asking you to pay extra for already paid goods, etc.

Why large landowners are switching to tracked remote-control mowers
09 Mar 2026Who's going to mow your land this year? Finding someone willing to push a mower up a slope for hours is getting harder — and even when you do, the work is physically demanding and comes with real risk. A tractor covers a lot, but not everything: between orchard rows, along a canal, on the steeper parts of your land. That's why more and more large landowners, municipal companies and vineyard operators are switching to remote-controlled tracked mowers. We visited the factory in China where these machines are made and filmed how they actually work.
